Welcome to CrewLAB. This guide will get you oriented and pointed in the right direction.
Create Your Account
Download the CrewLAB app from the App Store or Google Play, or sign up at app.crewlab.io. You’ll need an email address to get started. Once you’re in, complete your profile — name, photo, and contact info. This information is visible to your team, so make it real.
You can join a team using an invite link or a Team Code shared by a coach, captain, or teammate.
Multiple teams: You can belong to more than one team on the same CrewLAB account. Switch between them anytime by tapping your team’s name in the upper-left corner of the Home screen and selecting the one you want to view.
Leaving a team: If you leave a team, you lose access to that Teamspace, but any workouts or check-ins you logged stay with your CrewLAB account. If you’re the only Coach on a team, promote someone else to Coach first — you won’t be able to undo leaving.
Teams can’t be merged directly, but when someone moves from one team to another, their historical data moves with them automatically.
Understand the CrewLAB hierarchy
CrewLAB is built around teams and clubs:
Teams are where the daily action happens. A team is a group of athletes and coaches — it has workouts, video, messaging, calendar, check-ins, and everything your coaching staff uses to run training. Anyone can create a team: a coach, a captain, even an athlete organizing informal training.
Clubs sit above teams and tie them together. A club adds the business layer — payments, registration, waivers, club-wide communication, and reporting. A club, for example, might have a varsity team, a novice team, and a masters team all linked under one club.

You don’t need a club to use CrewLAB. Many teams run on CrewLAB for months or years using only the coaching tools. When you’re ready to add the club layer, book a time with us and we’ll get your club set up.

Understand CrewLAB’s roles
CrewLAB has two independent sets of roles, and it’s worth knowing the difference before you dive in:
Club roles control the business side of your organization — payments, registration, and waivers:
- Admin — Can create and manage products, connect Stripe, and see financial data across the club.
- Member — Belongs to the club but cannot create products or access financial data.
Team roles control day-to-day team operations — training, communication, and roster:
- Coach, Captain, Athlete, Parent, and Other.
These two systems are independent — you can hold a role in each. For example, a treasurer might be a Club Admin and also a Team Parent; a head coach might be a Team Coach and a Club Member (or Admin, if they also handle payments).
For the full breakdown of team-role permissions, see the Roles guide.
Who are you?
Your next step depends on which of these best describes you — and you might be more than one.
I’m an Admin
You’re here to handle the business side — payments, registration, waivers, and compliance. You might be a treasurer, board member, or club director. Your guide covers setting up a club, connecting Stripe, building programs, and managing the admin dashboard.
I’m a Coach
You’re here to run your team — workouts, video, communication, and athlete development. Start by creating a team or accepting an invite to one. Your guide covers team setup, roster management, training tools, and daily operations.
I’m an Athlete
You’re here to train, register for programs, and stay connected with your team. Your guide covers joining a team, registering and paying for programs, connecting your wearables, and getting the most out of CrewLAB day-to-day.
I’m a Parent
You’re here to support your child’s participation — registering them for programs, signing waivers, making payments, and staying informed about the team. Your guide covers setting up a parent account, managing your child’s profile, and navigating the app as a parent.
