⚠️ Beta Feature — Payments is currently in beta. If you would like to get started, get in touch with our team.
Payments allows coaches to create and manage products—memberships, programs, gear, coaching fees, and more—and collect payments directly through CrewLAB, powered by Stripe.
Accessing Payments
On desktop: In the left navigation menu, click Payments.
On mobile: Tap your team name to open the side navigation, then tap Payments.
Setting Up Stripe
Before you can create products or accept payments, you need to connect a Stripe account. Stripe securely handles all payment and banking information. No financial data is stored in CrewLAB.
To set up Stripe:
- From the Payments tab, click Set Up Stripe.
- Connect your existing Stripe account, or create a new one (takes approximately 3 minutes—have your bank information and EIN ready).
- Once connected, you’ll be redirected back to CrewLAB automatically.
Creating a Product/Program/Membership
Only Coaches can create new items to pay for.
Products can represent memberships, programs, gear items, coaching fees, or any other purchasable item for your team.
To create a product:
- From the Payments tab, click the + button on the right-hand side.
- Enter a name and description for your product. These are visible to everyone on your team.
- Select a payment type:
- One-off payment — a single charge.
- Subscription — a recurring charge. Select the billing frequency and set a price for each frequency option you want to offer.
- Set your price and click Save.
- The product is now visible to all team members under Products.

Managing Products
From the product list, Coach can:
- Edit a product to update its name, description, or pricing.
- Duplicate a product to use it as a template for a new one.
- Archive a product to remove it from the active product list (see Archiving a Product below).
Products cannot be deleted to preserve payment history.
To share a product, open the product and copy the link from the product view. You can share it directly in a CrewLAB Chat or send it out externally.
Making a Payment
Coaches, Athletes, and external participants can all make payments through CrewLAB.
To pay for a product:
- From the Payments tab, select the product you want to pay for.
- Select your payment plan (one-off or subscription).
- Complete the payment on the checkout page.
- View active subscriptions and payments history from My Payments tab.
External Payers
External participants can pay without a CrewLAB account. To pay externally:
- Open the product link shared by your coach.
- Select a payment plan, enter your name and email, and click Subscribe.
- Complete payment on the checkout page.
External payers appear in the payment history with an External tag. To view their details, click on their profile to see all active subscriptions and contact information.
From the external payer’s profile, a Coach can change their role, which will trigger an invitation for them to join the team. Until they accept, external users have no access to the team space.

Archiving a Product
Any product can be archived but not deleted.
To archive a product:
- Open the product from the Products list.
- Select Archive Product.
Once archived, the product is no longer available for new purchases. Any active subscriptions tied to that product will remain active until cancelled.
Cancelling a Subscription
To cancel an active subscription:
- Navigate to My Payments.
- Under Active Products, select the subscription you want to cancel.
- Click the red trash icon to cancel.
- Cancellation takes effect at the end of the billing period.
