Every coach knows the feeling: you’re ready for a competition, the entry deadline is tomorrow, and the easiest solution is to swipe your own card and sort it out later. Sometimes reimbursement is fast. Sometimes you’re chasing your own club for months.
This isn’t a you problem — it’s a systems problem. And it’s costing coaches far more than money.
What Is the “Administrative Tax” on Coaching?
The Administrative Tax on Coaching is every hour you spend on logistics instead of athletes.
According to CrewLAB’s Annual Report, coaches describe the daily reality this way:
“Between chasing regatta fees and managing attendance across different age groups, the actual coaching can sometimes feel like the smallest part of my day.”
The numbers behind that frustration are stark:
- Most rowing clubs run on 7 or more disconnected tools — spreadsheets, GroupMe, WhatsApp, Venmo, TrainingPeaks, YouTube, Hudl — and no single source of truth
- 40% of rowers quit after their first year. Research points to one primary cause: a weak relationship with their coach
- Every hour spent on admin is an hour not spent building those relationships
The tools meant to help are creating the problem.
How Clubs Can Collect Dues and Fees Without the Chaos
The core issue is fragmentation. When payments live outside your club management system, you get:
- Payment links buried in group texts
- No visibility into who has paid for an upcoming event
- Coaches floating fees on personal cards
- Awkward follow-up messages to parents
The fix isn’t a better spreadsheet. It’s eliminating the spreadsheet entirely.
CrewLAB is club management software built by coaches and athletes. Unlike generic tools, it was designed specifically for the workflow of a real program — including payments.
With CrewLAB Payments, clubs can:
- Collect dues, entry fees, gear orders, and camp registrations directly inside the app — no separate invoicing tool required
- Assign payment items to the full squad or individual athletes
- Set up recurring billing for season dues or monthly fees
- Automate payment reminders so coaches aren’t the ones chasing
- Give athletes and parents flexible payment options, including major credit/debit cards and ACH bank transfers (processed securely through Stripe)
- Monitor everything in real time through a dashboard that replaces the tracking spreadsheet
Each offering has a dedicated product details page with pricing, descriptions, and visibility controls — all in one clean view.
What Else Does CrewLAB Do for Clubs?
Payments are one piece of a fully integrated platform. CrewLAB also:
- Centralizes communication through a SafeSport-compliant messaging tool
- Manages athlete registration and attendance across age groups
- Supports video and workout planning so coaching content lives alongside logistics
- Keeps parents informed about what matters — without flooding them with operational noise
Everything coaches currently juggle across 7 tools, unified in one place.

Frequently Asked Questions About CrewLAB Payments
How does CrewLAB handle payment collection for rowing clubs? Clubs create an invoice or product inside CrewLAB — for program registration, a regatta fee, gear, or anything else owed. That item appears directly in the athlete or parent’s app under the Payment tab, where they can pay immediately. No external links, no separate apps.
Does CrewLAB store credit card or banking information? No. All payment and banking data is handled exclusively by Stripe, a leading financial infrastructure platform. CrewLAB never stores payment information.
Can parents or supporters pay without a CrewLAB account? Yes. External payers receive a direct link and can complete their purchase without creating an account. They appear in the club’s payment history with an “External” tag.
What payment methods does CrewLAB accept? CrewLAB processes payments through Stripe, which accepts all major credit and debit cards as well as ACH bank transfers.
Can I remove a payment item after it’s been created? Products are archived, not deleted. Archiving removes the item from the active list while preserving all associated transaction records.
What happens to active subscriptions when a product is archived? Existing subscriptions remain active and continue billing normally. The product simply becomes unavailable for new purchases.
Who built CrewLAB? CrewLAB was developed by coaches and athletes specifically for the rowing community, with a focus on reducing administrative burden and improving the coach-athlete relationship.
